In plain words: what we collect when you book a retreat weekend, why we collect it, and the choices you have. Emerald Vista Retreats is run by Emerald Vista Cabin LLC in Broken Bow, Oklahoma.

What we collect when you book

• Your name, email, and phone number, so we can confirm your booking and reach you about your weekend.
• The name of the friend you are sharing with, when you book a shared spot.
• Your emergency contact's name and phone number, used only if something goes wrong during the weekend.
• Allergies and dietary notes you give us, so Carolina can cook safely for you.
• Your waiver acceptance: the exact text you accepted, the version, and when you accepted it. Guests on a shared booking and guests who take over a booking accept in their own names, and we keep the same record for each person.
• Your photo choice: whether you said yes or no to photos and video of you being used, and when you chose. You can change it at any time from your booking page.
• Booking and payment status: what you booked, what you paid, and what is still due. Card payments are processed by Stripe. We never see or store your full card number; Stripe holds the card you save for your balance.

If you join the waitlist, we keep the email address you give us so we can write to you when new dates open.

Who processes it

Stripe processes payments and holds saved cards. Cloudflare hosts this website and its booking system. Resend sends our booking emails for us, so when we send you a confirmation, a receipt, or a notice about your weekend, your name and email address pass through Resend to reach you. We do not sell your information, and we do not share it with third parties for their marketing.

How long we keep it

We keep booking and waiver records for as long as the business needs them for its own records, taxes, and legal duties. Waitlist emails are kept until you ask us to remove yours.

Your choices

You can read the exact waiver text you accepted, and change your photo choice, any time on your booking page. To ask for a copy of your information, to correct it, or to ask us to delete what we no longer need to keep, write to info@emeraldvistaretreats.com and we will take care of it.
